
Job Title: ASSOCIATE BOOKKEEPER & PAYROLL SPECIALIST
- 100% REMOTE Contractor (1099) position
- Part Time, 10+ hrs per week with growth opportunity

ABOUT THE ROLE: We’re seeking a detail-oriented Associate Bookkeeper to handle monthly bookkeeping and payroll for 1-5+ clients using QuickBooks Online. You’ll work under the mentorship of a Senior Bookkeeper in a collaborative, remote environment.
Note: If you own or plan to start your own bookkeeping firm within 6-12 months, please don’t apply. We’re looking for team members excited to focus on the work, not run their own business.
KEY RESPONSIBILITIES
Bookkeeping & QuickBooks Online:
- Enter and categorize transactions, bills, invoices, and payments
- Monthly reconciliations of all accounts
- Set up and maintain automated rules
- Reconcile payment processors and balance sheet accounts
Client Support & Documentation:
- Manage backup documentation across cloud systems (G-Drive, QBO, Keeper)
- Prepare W-9s and 1099s
- Update SOPs and suggest process improvements
- Communicate with clients via email and Keeper portal
Team Collaboration:
- Daily email and task management check-ins
- Weekly/bi-weekly Zoom meetings
- Progress updates through Keeper.app
- Meet all client deadlines
REQUIRED QUALIFICATIONS
- Education: Associates/Bachelor’s in accounting, finance, or related field (preferred)
- Experience: 1-3 years with QuickBooks Online
- Certification: QBO ProAdvisor Level 1 (or obtain within 30 days)
- Tech Requirements: Computer <2 years old, reliable high-speed internet
- Skills: Strong attention to detail, excellent communication, self-starter mentality
- Personality: Professional, emotionally mature, team-oriented, resourceful problem-solver
- Core Tech Stack: QuickBooks Online, Google Workspace, Slack, Zoom, Microsoft Excel/Google Sheets
BONUS QUALIFICATION
- Construction/trades industry experience (BuilderTrend, JobNimbus, CoConstruct)
- Legal industry experience (trust accounts, CLIO)
- Experience with Keeper.app, DEXT, Gusto, OnPay • AI/automation tools (ChatGPT, Zapier)
- Advanced Excel/Sheets skills (pivot tables)
